It should be noted at the beginning that care must be taken when opening .xls files because the possibility that harm may be inflicted on your computer by such a file exists. Unless the file is from a trusted source and/or scanned thoroughly by anti-virus software with the latest virus definition updates, it would be better not to open it at all. If you have come across a .xls file and are uncertain which program to open it with, Microsoft Excel is going to be the most likely candidate without doubt. There are, however, other instances in which the same file extension is used. The older and now much less popular program, Microsoft Works also uses the .xls file extension for its spreadsheet functionality. Like Excel, Works costs money and can be purchased from Microsoft's official website. It also comes with word processing and graphing functions, among others.

If you are fairly certain you are supposed to be dealing with one of these two file types, both spreadsheets, but are still not sure if you want to spend money on either of those software packages, there is an option that will not cost you any money. Those looking simply to view such a file, but not manipulate or edit it will also find this software useful; it's called the Excel Viewer, and can also be downloaded from Microsoft's website. Use the search function to search for the program name from their main page and you'll find the download page quickly. The size of the installer is negligible, and getting it should be manageable even on a 56k internet connection. Again, be careful and only download this program from its official source at Microsoft's website, as executable files can harbor the same virus dangers as .xls files.

Other than Microsoft's Excel and Works programs, there are no other known and currently maintained software packages or suites which use the .xls file extension, so if you come across this label, chances are very good that you are dealing with a spreadsheet of some kind, and that it will be viewable with the free Excel Viewer. If this is not the case and you receive an error about the file not being recognized or able to be opened, then perhaps the file was mislabeled and is actually of a different extension. If you are sure you are working with a spreadsheet file from one of the two aforementioned programs, and the extension is correct, but still you receive an error about the file being unreadable, your probable cause of failure is a file that is incomplete, damaged, or corrupt. If you produced this file yourself, try re-saving it with the editing software it was created with and opening again. If the file is from another source, especially one over a network, try retransmitting the file to ensure that no data was lost during transmission. To eliminate the possibility of the file being corrupted where it is stored on the server you are downloading from, use a different source.
